This involves creating a creative event idea that your clients love, executing the planning process, getting a venue, catering, decorations, and vendors—everything down to the last detail. Then, after all the planning is done, you still have to throw the event and get through event day!

Therefore, we have created a free tool for you to use within your event planning process. It can be catered to any event type, corporate events, conferences, golf outings, galas, and more. We have added subtopics that can be added and customized to your own needs to ensure you are prepared for any type of event.

Why is an event plan checklist needed? As we discussed, a lot goes into planning an event, pre, during, and post. With a list acting as an inventory of everything needed to be done, you can keep track of what you and your team have done and update it daily to ensure you are completing your tasks. 

With the event plan template, you may either upload your own excel file of all your tasks, or you can choose from our pre-crafted event plan templates created for a wide range of events. This will help you understand what you need to keep track of for each type of event. 

A checklist is great for planning but even better for the day of the event. Since the event plan is entirely customizable after you have used your preloaded plans for planning the event, you can create your own for the day of the event!

There is so much going on in such a short period compared to the event planning process; you have a single day to execute all your plans and create the best event. Putting both bigger and smaller things on the checklist will assist you in not forgetting anything, even if it is as simple as ensuring the caters have enough table space to set up the food. These small things are still significant. You don’t typically think of it on the day of the event. Therefore, a checklist is helpful. Multiple ones can be made as well. Split them into high and low urgency tasks and consider delegating the lists to different team members.

How to: 


On the plan setting page, you will pick the type of event you are having and what will be included.

Start with either picking basic or advanced event management, from there click every category you would like to include in your template. Remember if you click venue management and end up realizing you only need a couple of the tasks from the category you may change or delete our preloaded tasks to fit the needs of your event better. 




After you have selected all the categories you want to be included click "Generate Plan", your event plan is now made and ready to be customized! 

At this point, you can add, change, or omit tasks. After the tasks are to your liking you may fill out the needed information. Who they are assigned to, start and end date, notes, what percentage of that task is done, and the order to complete the tasks. 

SMART event planner can be saved in Events.org or exported to a PDF or Excel spreadsheet for your convivence.
